This policy explains what personal information Smoke Signals Network collects when you apply for or hold membership, and how it's used, in line with South Africa's Protection of Personal Information Act (POPIA).

To assess and process your membership application, communicate with you about your membership, run recurring billing for the monthly membership fee, and organise club events. We don't collect more than we need for these purposes.

3. Where it's stored

Application and membership data is stored in a private Google Sheet accessible only to the Club's administrators, via Google Apps Script. Membership fees are collected manually (e.g. bank transfer or cash) โ€” we do not use an automated payment processor, and no card details are collected or stored by us.

4. Who we share it with

We don't sell or share your information with third parties for marketing. It's shared only with the service providers needed to operate the Club (e.g. Google, for storage), and only to the extent needed for those services to work.

5. How long we keep it

We keep member data for as long as your membership is active, plus a reasonable period after cancellation for record-keeping. Declined or abandoned applications are retained only as long as needed to review them.
